CS — CASE STUDY

Dave Cooper LIVE

Dave Cooper LIVE sits at the center of the off-site construction conversation, which means a constant flow of guests, sponsors, and partners — all managed through inboxes and memory. Sponsorship revenue in particular needed a real pipeline: a system to move conversations from first contact to signed agreement without anything slipping.

APPROACH

We architected the CRM platform from scratch, designed pipelines around how media and sponsorship deals actually progress, and automated the follow-up between stages. Sponsorship workflows now carry each opportunity from first conversation to signed agreement, with the system — not memory — deciding what happens next.

The situation

Dave Cooper LIVE sits at the center of the off-site construction conversation. That position generates a constant flow of relationships — guests to book, sponsors to close, partners to coordinate, audience members turning into opportunities. All of it was being managed the way most growing operations manage it: inboxes, memory, and good intentions.

For a media operation, that’s a specific kind of expensive. Sponsorship deals are pipeline deals. They move through stages, they stall, they need timely follow-up, and every one that slips through a crack is real money. Guest booking has its own cadence of outreach, confirmation, and scheduling. Partner conversations run long and resurface unpredictably. Running all of that on memory doesn’t scale, and it doesn’t survive a busy production month — which, for a show at the center of its industry, is every month.

The system we built

We approached this as CRM architecture, not software setup. The tool matters less than the design of what happens inside it.

  • CRM architecture designed from scratch around how a media operation in construction actually works — not a sales template with the labels changed
  • A full CRM platform setup as the operating system behind the brand
  • Pipeline design that mirrors how sponsorship deals really progress, stage by stage, so the status of every opportunity is visible at a glance
  • Automation between stages, so follow-up happens on schedule whether or not anyone remembers
  • Sponsorship workflows that carry each opportunity from first conversation to signed agreement

This is the same discipline we bring to contractor CRM builds, pointed at a different revenue model. The principle doesn’t change: revenue lives in the follow-up, and follow-up belongs to a system, not a person’s memory.

How it works day to day

A new sponsor conversation enters the pipeline the moment it starts. It gets a stage, and the stage carries a next action. If the conversation goes quiet, the automation follows up on schedule — politely, persistently, without anyone needing to notice the silence. When the sponsor re-engages, the deal moves, and the system adjusts what happens next. Nothing waits on someone remembering, and nothing depends on someone having a good day.

Guests and partners run through the same discipline. Every relationship has a place, a status, and a next step, so a glance at the pipeline answers the questions that used to require archaeology in an inbox: who are we waiting on, what’s about to close, what’s gone cold that shouldn’t have.

For the people running the operation, the practical change is where their attention goes. Instead of holding the state of every deal in their heads, they work the deals the system surfaces. The busiest weeks — the ones that used to cost follow-up — are now the weeks the automation earns its keep. Co-founder Jennifer Cooper’s written testimonial on this page speaks to that shift: the structure, the momentum, and the strategic clarity that come from execution being handled by a system.

What changed

Dave Cooper LIVE runs on a pipeline instead of a memory. Every conversation — guest, sponsor, partner — lives in the CRM with a stage and a next action. Sponsorship opportunities move from first contact to signed agreement along a defined path, with automated follow-up closing the gaps where deals used to quietly die. Status is visible, so decisions get made on what the pipeline shows rather than what someone recalls.

The deeper change is capacity. An operation at the center of an industry conversation generates more opportunities than any person can carry in their head — which used to mean growth was capped by the founders’ working memory. Now the system carries the load and the people carry the relationships. That’s what CRM architecture buys: the deals that were already there actually getting finished.
